Rent-A-Room provides private rooms in peer-filled houses in Observatory, Cape Town, for international students and interns. This policy explains what personal information we collect when you inquire, book, or stay with us, how we use it and the choices you have. We keep it in plain language because you should not need a law degree to understand what happens to your information.
Who We Are
Rentaroom Cape Town (Pty) Ltd (registration number 2018/258397/07) operates rentaroom.co.za and the accommodation booked through it. Our office is at 5 Howe Street, Loft G7, Observatory, Cape Town.

What We Collect
When you inquire or book, we collect the details we need to arrange your stay: your name, email address, phone number, home country, your program or university, your arrival and departure dates and any housing preferences or requirements you tell us about.
When you sign our guest agreement, we collect your signature and the information on that form. If a parent or guardian is involved in the booking, we collect their contact details too.
During your stay, we keep records of your room assignment, payments and any correspondence with our team.
Payment Information
We do not store your card number. Card payments are processed by regulated payment providers on our behalf, and your card details go directly to them, not to us.
We receive confirmation that a payment was made, the amount and the last four digits of the card.
The entities that process card payments on our behalf are listed in our Terms and Conditions.
How We Use Your Information
We use your information to respond to your inquiry, match you to a room and house for your exact program dates, invoice you and process payments, communicate with you before and during your stay and meet our legal and accounting obligations in South Africa.
If you booked through a placement program, we use your program details to coordinate your dates with them.
We do not sell your information.
Who We Share It With
We share your information only where it is needed to run your booking: with our payment providers to process payments, with our accounting and invoicing systems, with the placement program or university that referred you (where your booking came through one) and with our house teams so they can prepare your room.
We may disclose information where South African law requires it.
How Long We Keep It
We keep booking and payment records for as long as South African tax and accounting law requires, and correspondence for as long as we need it to support you as a past guest.
When information is no longer needed, we delete it.
Your Rights
Under South Africa’s Protection of Personal Information Act (POPIA), and under the GDPR and UK GDPR where they apply to you, you can ask us for a copy of the personal information we hold about you, ask us to correct it or ask us to delete it where we no longer have a legal reason to keep it.

If you are not satisfied with our response, you can complain to the Information Regulator of South Africa at inforegulator.org.za.
